Setting up your costs Answer 19 of 24 Updated

How do I add running costs, one-offs and my own categories?

On the Overhead page, with Add cost, which asks what you are entering and offers three choices: Overhead, Marketing spend and Other costs. Each opens its own form in the same panel, and the back arrow returns to the choice without losing what you typed.

Overhead is for the costs of running the store: salaries, rent, apps, software. Give it a name, a category, an amount and a recurrence, Monthly, Yearly or One-time. A recurring cost takes a start date and, if it stops, an end date; left empty, the end reads Ongoing. Recurring costs are spread over every day they cover, a one-time cost lands whole on its booking date, and all of it counts in Overhead Costs, line 31 of the P&L.

Marketing spend is for advertising no connector brings in, such as influencers, sponsorships or an agency, and counts in Marketing Costs, line 27, before CM3. Other costs are one-offs such as a repair, a lawyer or a trade fair: what it was, the amount excluding VAT, the date and an optional note. They stay in line 31, and the P&L shows them on a row of their own under it, of which other costs. Something that lasts for years, like a van or shelving, is an investment rather than a cost, and EBITDA leaves it out.

The category list ends with Custom category: name your own, such as insurance or cleaning, and it is offered under Your categories from then on, still counted as overhead; a name that matches one of the preset categories picks that one. Each of your own categories can be deleted from the list: one no saved cost uses goes at once, and one in use asks first, then moves its costs to Miscellaneous. No figure moves either way.

Above the table, the views All, Overhead, Recurring, One-time, Marketing spend and Other costs narrow the list, and a Total row pinned under the header adds up the view: what its recurring costs running today cost a month, and their daily impact. On the One-time view it adds up the one-off amounts instead.
